Position :  Maternity Cover – Executive Assistant to CEO and MD


Location : Tubney, Oxford

What we are looking for:

WMP is seeking an intelligent, articulate and highly organised Executive Assistant to work closely with both the CEO and Managing Director, to ensure the effective use of their time, as well as assisting in projects and office management.

The job is highly varied and you will be responsible for a wide range of tasks – from sourcing an artist for a concert, to casting actors for a mobile phone advert. From finding laser quest equipment for a staff party, to booking CGI work for an animation. You will have the opportunity to experience the full spectrum of our services areas across the UK company as well as internationally, particularly in the area of film and video.

Responsibilities for this role will include working closely with our friendly team in our lively Tubney office, as well as liaising with our teams in London and Qatar. You will work with the creative team to assist with projects, co-ordinate information, track the work that is in progress and to keep the creative process moving.

You will also have the opportunity to be involved with new briefs and to arrange and sit in on briefings for new projectswithin the film department. We are looking for a pro-active individual who recognises creativity while also bringing a super organised approach to administrative tasks.

You will deal efficiently with all communications and bring things to the CEO and MD’s attention at the appropriate time. A high level of confidentiality will be needed as the CEO and MD will be trusting you with sensitive information. The Executive Assistant will also have the confidence to approach clients and to fix meetings with clients who WMP would be keen to work with, the ideal candidate will keep abreast of current news and make suggestions as to whom might be good to approach! You will be an excellent relationship builder, with strong communication skills.

As Executive Assistant, you will be able to anticipate the needs and actions of both the CEO and MD and ensure that they are achieved effectively. You will help the CEO and MD plan the way the business moves forward and help to ensure the whole operation runs smoothly without losing any of the sense of people enjoying what they do.


Typical daily responsibilities include:

  • Helping with projects/pitches i.e. helping create proposals and budgets, conducting research
  • Diary planning
  • Organising travel arrangements
  • Database management
  • Liaising with existing clients
  • Digital filing using our CRM tool
  • Office and building management i.e. answering phones, dealing with office suppliers etc.
  • Invoicing selected clients and organising payments for suppliers
  • Helping to identify prospective clients and fixing meetings
  • Organising staff reviews and helping recruit new members of staff

The ideal candidate will be of graduate level with strong previous experience in a support or PA role. You will have a professional outlook and demonstrate excellent levels of discretion and confidentiality.

The ideal candidate would have previous experience of using or an interest in the use of social media in business, as there are opportunities for this to be developed in the role. You will be comfortable with working on a MacBook Pro and have good MS office skills, with intermediate Excel and previous experience of managing or monitoring budgets.

Salary: £25-30k depending on experience
